AP Inbox-to-Bill

Vendor invoices stop piling up in email. AI reads each one, drafts the bill with the right account codes, sends it to the right approver and flags duplicates and changed bank details.

What is accounts payable automation with AI?

It turns invoices that arrive by email into draft bills in your accounting software. AI reads the vendor, amounts and line items, suggests general ledger (GL) codes and routes the bill for approval. Paying the bill stays a separate step that a person takes.

Part of a connected system

This example belongs to AI Ops Infrastructure (from $1,497). It is a possible component of a scoped build, not a standalone micro-service.

Who it's for

Businesses that get dozens of vendor invoices a month: contractors, distributors, property managers and restaurants.

What it connects to

A bills inbox in Gmail or Outlook, QuickBooks Online or Xero, Google Drive, approvals by email.

What the workflow can look like

  1. Invoices arrive at a bills inbox as PDFs, photos or email text.
  2. AI reads the vendor, invoice number, dates, amounts and line items.
  3. It drafts the bill in QuickBooks Online or Xero with suggested GL codes and attaches the file.
  4. Duplicates, price jumps, new vendors and any request to change bank details are flagged and held.
  5. The approver gets a short list to approve or send back, and due dates go on the payment calendar.

Illustrative scenario only. This is not a client case study, a live product demo or a promise of specific results.

What stays in your hands

  • A person approves every bill.
  • You make the payments, not the system.
  • A bank-detail change is always confirmed by calling a number you already have on file.

What we confirm in your AI Audit

  • How many invoices you get a month and where they arrive.
  • Your approval rules by amount or vendor.
  • Your accounting system and chart of accounts.

Questions before you start

What is GL coding?

It's choosing the general ledger account each bill line belongs to, such as materials or rent. AI suggests it from your past bills and your rules, and a person confirms it.

Can it handle invoices with many line items?

Yes. It reads line items and can code them separately. Unclear lines are flagged instead of guessed.

How does it catch fake invoices?

It flags duplicates, new vendors, unusual amounts and changed bank details, and holds those bills until someone checks. It's a warning system, not a guarantee.

Does it pay my vendors?

No. It prepares and routes bills, and you pay them through your usual process.
